BASIC FUNCTION:

To provide support to the Executive Director and other key administrative staff in order to ensure the efficient operation of the organization.

AND RESPONSIBILITIES:

• Assistant to the Executive Director:
o Responsible for scheduling and keeping the Executive Director’s calendar.
o Responsible for preparing information for meetings.
o Responsible for filing and projects as assigned.
o Act as staff liaison to Board of Trustees for meeting arrangements.
o Send out meeting notices and correspondence.
o Prepare general information and packets for Board Meetings.
o Responsible for RSVP’s.
o Coordinate refreshments as needed for meetings.
o Coordinate all Board Committee Meetings.

• Other Duties:
o Assist Media/Special Programs Manager and Development Director as needed.
o Responsible for coordinating miscellaneous office needs (lunches, ordering flowers, other committee meetings).
o Responsible with the Office Manager for first line answering of phones.
o Work with Associate Director to track receipt of contract insurance and deposits.
o Work with Associate Director to track completion of Lock 3 contracts.

BASIC QUALIFICATIONS:

• Ability to quickly learn new software.
• Ability to work with Word, Excel, and Quickbooks.
• Excellent customer service skills – in person and telephone.
• Detailed and organized.
• Punctual.
• Must be available to work regular office hours.
• Possess a high school diploma or equivalent.

PREFERRED QUALIFICATIONS:

• Previous Administrative Assistant experience.

COMPENSATION:

• Full-time, salary position.
